DEALING WITH REFUNDS ON THE MAIN AND ECON PRODUCT REPORTS
 
When a ticket is refunded the Reconciliation Report accounts for the refund on the day the refund happens, so it ties in with your bank deposits.  The Main and eCon Product Reports are designed to give reporting on actual valid tickets sold on any given day, so the reports are adjusted for refunds, based on the day the ticket was purchased not on the day of the refund.  These are some notes with suggestions for Controllers on how to reconcile these two reports.

1. If the refund occurs on the same day, in the same time limit for the credit card processor then both the Reconciliation Report and the Main and eCon Product Reports will have the same value. 

2. To identify the dates of refunds that occur across the timeline, run the Reconciliation Report for the month to date.  If a refund shows up that date is the one you need to check. 
  1. Go to the “View All Orders” report.
  •  Select your date and time adjust range
  • Under the payment filter choose ‘Refund’
  • On the radial buttons choose “All payments listed” 

This will pull up a report of all refunds issued on that date range.  You will need to go into each order to find the one(s) that are effecting the reporting.  You should note the order date and time, and then the refund date and time.  When you have isolated the refunds that are causing the discrepancy you can then do a manual adjustment to your accounting records for the ticket type/category.

I find it easier to check for refunds each day and run a spreadsheet that I regularly update.
